Job Description / Duties
POSITION SUMMARY
Under the general direction of the Dean of Students and in collaboration with other members of the office, oversees the admissions and operations of the St. Michael’s College Residence, as well as all day-to-day administration of the Office of the Dean of Students.
Residence Admissions & Fees
The Residence Operations Coordinator is responsible for managing all aspects of the residence admissions cycle including admitting new residents, assigning rooms, pairing roommates, processing withdrawals and room changes, organizing all aspects of residence fees including posting charges to ROSI, filling vacancies and responding to communications and inquiries. Other duties include executing end of term procedures, reconciling meal plan reports, organizing residence tours, liaising with students who have outstanding accounts, and accurately maintaining the residence database.
Office Administration
The Residence Operations Coordinator is responsible for the day to day administration of the Dean’s Office. In addition to general reception duties, the incumbent provides administrative support to the Dean and other members of the office, provides guidance and oversight to work study students, prepares a variety of reports and statistics, tracks office budgets including invoices and purchase orders, manages and updates the departmental website, edits and updates office correspondence, manages office payroll submissions, responds to the needs and concerns of residents, and liaises with the many College and University departments with whom the Dean’s Office interacts. Additional duties as required.
Residence Life
The Residence Operations Coordinator provides occasional on-call support to the SMC Residence when the Assistant Dean, Residence Life is off or unavailable.
Qualifications / Required Skills
SKILLS/QUALIFICATIONS
Must have excellent organizational skills; accuracy and attention to details are particularly important. Ability to establish work priorities, meet deadlines, remain flexible, work independently, and respond to a variety of demands and requests in a professional and efficient manner. Excellent interpersonal and customer service skills as well as effective verbal and written communication. Must be able to understand and interpret policies and procedures, work under pressure, demonstrate initiative, and work with minimum supervision. Residence life experience is an asset.
Computer Skills: Ability to work with a broad range of software including Windows, Mac, ROSI, Access, Word, Excel, Outlook, Adobe Creative Suite, and complex databases. Proficiency with StarRez database required, as well as willingness for ongoing education in this area.
EXPERIENCE
1-3 years working in an administrative capacity preferably in a university environment dealing directly with students
EDUCATION
University degree and/or acceptable equivalent combination of education and experience. Education in related discipline an asset.
