Your opportunity:
Reporting to the Supervisor, Residence Operations, the Occupancy & Admissions Coordinator will be responsible for ensuring that the Department of Student Housing and Residence Life operates in an effective and efficient manner by ensuring that all housing applications and student records are accurately managed, reviewed, updated, and filed in accordance with University of Toronto and department related policies. The Occupancy & Admissions Coordinator will assist in maximizing occupancy through keeping application and current student data up to date at all times, coordinating incoming and outgoing students and informing decision making.
Complementing the department’s mission to advance the academic mission of the University, the Occupancy & Admissions Assistant will have primary responsibility in six key areas: Occupancy Management; Admissions; Records Management; Move-In & Move-Out Coordination; Student Staff Hiring & Supervision, and Reporting.
Your responsibilities will include:
Providing detailed information on eligibility requirements, procedures and deadlines
Reviewing and assessing student applications for admission into residential accommodations
Informing applicants of residential accommodations offer
Scheduling logistics required to move incoming and outgoing residents
Coordinating room assignments and room changes throughout the year
Analyzing and making recommendations to maximize residence occupancy
Liaising with colleagues to encourage the use of best practices and consistent programming
Analyzing data
Qualifications / Required Skills
Essential Qualifications:
Bachelor degree in a related discipline, or an equivalent combination of education and experience.
A minimum of two (2) years of related residence administration experience including records keeping duties and contract administration.
Experience dealing with a large volume of contracts, responding to inquiries in a professional manner and working with competing deadlines.
Experience advising students on residence admissions matters.
Expert knowledge of StarRez, or equivalent residence application and admissions software is required.
Experience interpreting and ensuring compliance with the Ontario Residential Tenancies Act, including knowledge of post-secondary education institution exemptions.
Expert knowledge of Microsoft Office Suite, including advanced data manipulation and reporting through Excel.
Advanced spreadsheet skills required, including the ability to consolidate and link multiple spreadsheets and to use advanced functions and formulas.
Excellent written and verbal communication skills are required.
Demonstrated knowledge of customer service and information communication standards of practice in accordance with the Accessibility for Ontarians with Disabilities Act (AODA).
Thorough knowledge of the university’s procedures as they relate to the Freedom of Information and Privacy Act (FIPPA) and management of confidential student information.
Ability to identify trends in occupancy management and identify influencing factors.
Strong records management and contract administration knowledge.
Ability to effectively manage deadlines and priorities.
Highly professional approach, use of tact, superior organizational skills, ability to work with minimal error under pressure, good judgment, initiative, flexibility, ability to deal in an effective and cooperative manner with a variety of people.
Must possess excellent customer service skills and a positive attitude.
