Student Housing & Residence Life (SHRL) strives to create a holistic student experience that promotes academic and personal success for all students in residence. The department is located within Oscar Peterson Hall Residence and staffed by a group of dedicated residence life professionals, financial and administrative staff. The department is driven by a set of values: putting students first, intentionality, team and commitment. All work effort is guided by these values and steers the department in a single direction. The staff work together collaboratively and are highly dedicated. To create a comfortable and successful environment for resident students there is an abundance of positive energy and engaging personalities.

Reporting to the Supervisor, Residence Operations, the Residence Operations Assistant (ROA) will be responsible for providing administrative/operational support to the department of Student Housing & Residence Life. The ROA will directly support the administrative team with application processes, data collection, review and analysis, and recruitment activities. The Residence Operations Assistant will assist management in efforts to maximize occupancy, coordinate incoming and outgoing students, inform decision-making, and accurately plan for upcoming cycles.

The Residence Operations Assistant will provide excellent customer service to current and prospective residence students, and assist in resolving inquiries and concerns as they arise. The position also provides administrative support to key Student Housing & Residence Life leadership including the Director, Student Housing & Residence Life.

This position works some evenings and weekends to support students living in a 24/7 residence environment.

Your responsibilities will include:

-Coordinating meeting schedules, agendas, materials, action and follow-up items
Providing detailed information on Residence, eligibility requirements, procedures and deadlines.
Resolving minor complaints within the scope of the role and referring larger issues when appropriate.
Fostering positive relationships with students, parents and the general public.
Collating and organizing data for various reports.
Updating and maintaining records in StarRez.
Formatting and maintaining communication templates.
Providing orientation to others on work procedures and practices.

Qualifications / Required Skills

Essential Qualifications:

-Completion of a 3 year College Diploma in a related discipline (such as business administration, education, sociology or psychology) or an equivalent combination of education and experience. University degree is preferred.
-Minimum three (3) years of (student and/or professional) related operational and/or customer service experience
-Experience with the operational management databases (e.g. StarRez) is required
-Experience and demonstrated ability to analyze data and produce effective Excel reports
-Demonstrated experience with Office 365 and formula and functions in Excel
-Advanced computer skills in the use of Office 365, including Word, Excel and PowerPoint. Must be able to set up Excel spreadsheets utilizing advanced formulas and functions
-Strong customer service skills required
-Excellent written and verbal communication skills required
-Strong interpersonal skills with an ability to work with others in a cooperative and effective manner required
-Superior organizational and problem solving skills required
-Ability to effectively manage deadlines and priorities required

Assets (Nonessential):

Experience in Student Housing and Residence Life (student staff or professional is an asset).
Knowledge of the University of Toronto Mississauga and its student services is an asset.
Commitment to improving and enhancing the student experience in the residence and university.
Experience providing administrative support to others is an asset.

Salary: USW Pay Band 07 -- $53,222 with an annual step progression to a maximum of $68,063. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
